Things to Know
The CIMSS Summer Workshop on Atmospheric, Earth and Space Sciences will commence with check-in at 5:00 p.m. on Sunday. Registration will take place in Dejope Residence Hall, 640 Elm Dr, Madison, WI 53706. If you come to the middle of the building, you will find our check-in process, beginning with University Health Service. You then proceed to the UW-Housing’s Dejope front desk, where you get your room key and meal swipe. Finally, you will end up meeting out eager group of counselors. We felt that the following information might be helpful as you prepare to participate in the program.
DO
- Fill out and submit the CampDoc information as quickly as possible. Your will be asked to complete a Health Update form upon arrival to Dejope.
- Read the Conduct Policy, sign it, and bring it with you to check-in. (Blank forms will be available)
- Come to Madison and have fun while learning!
SLEEP
- You will be staying at the Dejope Residence Hall for the duration of the workshop. Workshop chaperones will be in the dorm with the students the entire time.
- Bed linens and pillows are provided by the dorm. However, you will need to bring your own towels, and provide your own toiletries (soap, shampoo, etc.). An alarm clock will also be helpful. Students should bring sunscreen for Thursday’s hike, as well as insect repellant for evening walks.
- Telephones are NOT provided in the dorm rooms. However, free Wi-Fi access is available in the dorm lounge. Dorm rooms will be air-conditioned and will also include a mini-refrigerator.
- Shared restroom facilities will be available, with private shower areas.
- You are expected to be considerate of your fellow campers, as well as other camps staying at the dorm. All students must be in their rooms by 10:30 p.m. Students are not allowed in the rooms of members of the opposite gender at any time.
EAT
- All meals will be provided during the workshop.
- Most breakfasts and dinners will take place in the Dejope Dining Hall. Three lunches will be at the AOSS Building; the other one will be on the road during Thursday’s field trip.
- Please let us know in the CampDoc portal if you have any special dietary requirements (vegetarian, vegan, gluten-free, etc.)
HEALTH
- University Health Services will administer health services for participants. All medications (with the exception of inhalers, EpiPen, insulin and migraine meds) will be turned in to the nursing staff for administration. A nurse will be at check-in to review the health forms, accept the Health Update form, and take possession of medications.
ACTIVITIES
- We will spend much of our time on campus, walking everywhere. Most mornings students will eat breakfast and then head over to the AOSS building. The distance is about 1 mile. Bring good walking shoes!
- Both Dejope and the AOSS building are wheelchair accessible and the campus paths have sidewalks.
- At times, we will leave campus for mini-field trips around Madison.
- We will also do a great deal of hiking for the geology field trip to Devil’s Lake, which will include a picnic lunch (provided). Bring rain gear, sunscreen and insect repellant, just in case.
- Please let us know on the CampDoc forms if you have any limitations in mobility.
- We are unable to accommodate runners and workout sessions as we do not have enough chaperones. Plan to do your workouts at Dejope.
ARRIVAL
- If you are flying into Madison, please send us your flight itinerary. We can make arrangements to pick you up before 4:30 p.m. on Sunday, although taxis are available immediately next to baggage claim at the Dane County Airport (MSN) for those arriving later. Fares to and from the airport are less than $35. Most cab drivers are pretty familiar with the University area. Dejope Residence Hall is at the western end of campus. The address for Dejope Residence Hall is 640 Elm Dr, Madison, WI 53706.
- On the “Madison” website, you will find both an interactive campus map, as well as a Google map, showing the location of Dejope Residence Hall. There is currently (read: always) major construction going on in Madison, especially around the University.
- If you are coming from I-90/94/39, take Hwy 30 to Packers Avenue (Hwy 113). Head west on Packers following the signs to the University; although the road goes through several name changes, you won’t turn off of it until after approx. 1 mile past the Park Street intersection, turn right onto Babcock Drive (curves off to the right just before railroad tracks). At the first intersection, turn left onto Linden, which makes a curve to the right and becomes Elm Drive. You will cross Observatory Drive; nearly at the end of the drive are parking areas. Dejope Residence Hall is on the left side of Elm Drive. You can park in lot #37 near the end of Elm Drive.
- If you are coming from Hwy 12/18 (West Beltline Hwy), take the Park St exit north until you get to University Avenue, where you will turn left (west). After approx. 1 mile, turn right onto Babcock Drive, which curves off just before some railroad tracks. At the first intersection, turn left onto Linden, which makes a curve to the right and becomes Elm Drive. You will cross Observatory Drive; nearly at the end of the drive is a parking area on the left. You can park in lot #37 near the end of Elm Drive.
- As you enter the Dejope, head for the middle of the building. We will be a table located near the front desk of the dorm. First stop will be to visit the nurse from University Health Services to turn in any medications, then you will pick up the dorm key and get your meal swipe (dongle or bracelet).
- Finally, you will find your counselors near the front desk area, and we will complete check-in.
DEPARTURE
- The program will end at 5:00 p.m. on Thursday. Please make some arrangements in advance to be picked up at Dejope Residence Hall if you are not driving your own vehicle. If you need transportation to the airport, please make sure your flight departs after 5:00 PM on Thursday. If an extra night’s stay is required, please let us know ASAP.
